This Privacy Policy is to provide transparency and explain to individuals how Reachdesk Ltd. (“Reachdesk”) processes, collects, and uses data when your information is submitted to Reachdesk to deliver physical or digital direct mail (“Services”).
This Reachdesk Privacy Policy covers the Services that Reachdesk provides to Reachdesk customers to assist them in their direct mail marketing campaigns with their contacts.
This Privacy Policy does not cover any services or activity on the Reachdesk website at www.reachdesk.com.

INFORMATION THAT WE COLLECT VIA OUR SERVICES
We may collect certain information, including personal information, from you as a data processor on behalf of our customers (the controllers).
- Information you provide to us: When you receive a Reachdesk landing page on behalf of a Reachdesk customer, Reachdesk will collect the contact details entered into the landing page by you. We will only send out the landing page and collect this information on the instruction of our customer. The processing of this data is specifically for the purposes of the Services for our customer as the data controller. The types of information we may collect includes: name, e-mail address, telephone number and postal address.
- Information we collect automatically: When you receive a Reachdesk landing page or an e-mail containing a link for a digital gift from Reachdesk on behalf of a Reachdesk customer, Reachdesk will collect details of the engagement activity. The types of information we may collect includes: whether the e-mail was opened, whether the link was clicked and whether the digital gift was claimed.
Any customers that wish to obtain more information about the data collected by Reachdesk should contact the Reachdesk customer on behalf of whom the landing page or e-mail was sent with any questions including relating to the provision of notice and obtaining appropriate consent.
HOW WE USE THE DATA THAT WE COLLECT
We may use the information that we collect to provide the Services to our customers for which we have been engaged. The information may be used for various purposes including: providing, operating, maintaining and improving the Services.
We may use aggregated data for purposes such as improving our platform offering and the services that we provide, in addition to creating reports, insights, and statistics for our services.
The use of information collected through our service shall be limited to the purpose of providing the Services.
SHARING INFORMATION WITH THIRD PARTIES
We do not share your personal information with any third parties without your consent except as described in this Privacy Policy or as per an agreement between us and a Reachdesk customer in connection with the Services.
- To third parties for the delivery of the Services - We share data with third-party vendors, consultants, or other service providers for the purposes of providing the Services, including but not limited to cloud hosting, logistics, delivery, warehouse management for physical gifts and also email delivery for digital gifts. These third parties are only authorized to use your personal information as necessary to provide services to Reachdesk and in compliance with all applicable data protection laws and regulations.
- In compliance with laws - We may share your information with a third party in special circumstances including where: (i) we believe there is a duty to disclose this data to comply with legal obligations including in compliance with applicable law, regulation, legal process, or governmental request; (ii) where necessary for the protection of the security and integrity of the Services; (iii) where needed to enforce our policies and agreements; or (iv) where directed by you.
- Business transfers - We may disclose data if we are legally obliged to do so to a third party in connection with the negotiation of any merger, financing, or acquisition of all or any part of our business or assets.
- Aggregated and/or anonymized data - We may disclose aggregated and/or anonymized information with third parties that will not directly identify you.
HOW DO WE STORE THE INFORMATION?
Reachdesk stores personal data received from our customers and the intended recipients of any physical or digital gifts within the UK and European Economic Area, save where strictly necessary for the performance of our obligations and where such transmission complies with Data Protection Laws.
HOW LONG DO WE RETAIN DATA?
We do not retain personal data on individuals, such as email addresses, longer than is necessary to achieve the purpose for which it was collected on behalf of our customers.
Unless specifically requested by a Customer, Reachdesk (as the data processor) shall retain personal data of a Reachdesk Customer (as the data controller) for no longer than 30 days after a customer has ceased instructing Reachdesk, except where necessary to comply with legal obligations, resolve disputes and/or to enforce agreements. All personal data relating to intended recipients of gifts after this 30-day period shall be deleted and all other anonymised and/or aggregated data shall be used for analytical purposes only.
YOUR RIGHTS
Reachdesk acknowledges that you have the right to access your personal information. Reachdesk has no direct relationship with individuals whose personal data it processes. An individual who seeks access, or who seeks to correct, amend, or delete inaccurate data should direct their query to Reachdesk’s customer, who is the data controller. If requested to remove data, we will respond within a reasonable timeframe.
CHANGES TO REACHDESK PRIVACY POLICY
Reachdesk may change this Privacy Policy from time to time and will amend the “Last Updated Date” accordingly. In some instances, we may provide additional notice to you, such as sending you an e-mail notification. All Reachdesk customers will be directly notified of any major changes to this policy.
If you disagree with any changes made to the policy and do not wish for your information to continue to be subject to the updated Privacy Policy, do not enter your details or click any further links received from Reachdesk or use the Services. Continued use of the Services shall constitute your consent to the changes.
